At North Idaho Ketamine & TMS, our goal is to provide exceptional, timely care to all of our patients. When you schedule an appointment, we reserve a dedicated clinical treatment room, specialized medical equipment, and licensed medical staff exclusively for your care.

Because many of our specialized treatments require extended blocks of clinic time, missed appointments or late changes prevent us from treating other patients in need. To ensure clinical consistency and fairness, we strictly enforce the following clinic-wide policy.

1. The 48-Hour Notice Requirement

If you need to cancel or reschedule any appointment, you must notify our office at least forty-eight (48) hours prior to your scheduled appointment time.

• Cancellations must be made by calling our office directly during regular clinic business hours.

• Voicemails left over weekends or holidays for an appointment falling on the next business day do not meet the 48-hour requirement.

2. Schedule of Fees by Treatment Type

Health insurance plans never pay or reimburse for missed appointments or late cancellation fees. These charges are completely out-of-pocket and will be billed directly to your mandatory credit card on file.​​

3. Program Discontinuation & Clinical Consistency

Adherence to your scheduled treatment plan is vital for your therapeutic success and clinical efficacy—especially for intensive protocols like TMS and Spravato®.

• TMS Therapy: Missing or late-canceling more than three (3) appointments within a single treatment course may result in the immediate suspension or termination of your daily therapy sequence.

• Spravato® Treatment: Missing or late-canceling more than two (2) appointments during your acute treatment phase may result in administrative discharge from the Spravato® program, subject to medical board and clinical review.

4. Credit Card on File & Automated Billing

As a mandatory condition of receiving care at North Idaho Ketamine & TMS, all patients must maintain a valid, active credit card securely stored on file. Any late cancellation or no-show fees incurred will be processed automatically within 72 hours of the missed appointment.

Exceptions for documented, bona fide medical emergencies will be evaluated on a case-by-case basis at the sole discretion of our clinic administrator.
